How to Build a Notion Sales Pipeline with Automatic Email Tracking
A Notion sales pipeline gives you the flexibility to track deals exactly the way your team sells—without paying for CRM features you’ll never use. The one thing Notion doesn’t do natively is log emails automatically, which is why most home-grown Notion CRMs eventually fall apart: reps stop updating deal records because copying emails in by hand is tedious.
This guide shows you how to build a Notion sales pipeline and connect it to TaskRobin so every email is logged automatically—no manual data entry required.
Step 1: Build Your Deals Database
Create a Notion database called Deals (or Pipeline) with these core properties:
- Deal Name — title property
- Stage — select property (e.g., New Lead, Contacted, Proposal Sent, Negotiation, Closed Won, Closed Lost)
- Contact — relation to your Contacts database
- Value — number property for deal size
- Close Date — date property
- Related Emails — relation to your Emails database (created in Step 2)
Add a Board view grouped by Stage for a visual pipeline, just like HubSpot’s deal board.
Step 2: Create an Empty Emails Database
Rather than manually building out properties, just create a blank Notion database and name it “Emails.” Leave it empty—TaskRobin will populate it with all the properties you need (Subject, Sender, CC, Received On, Attachments, and more) the moment you connect it.
Step 3: Create an Empty Contacts Database
Same approach here: create a second blank database named “Contacts.” No need to add properties manually.
Step 4: Connect TaskRobin to Automate Email Logging and Contact Creation
Now for the piece that makes this pipeline actually usable day-to-day:
- Link your empty Emails database to TaskRobin and get your forwarding address. See the full Notion + Gmail integration guide. TaskRobin will automatically generate all the properties it needs for tracking emails—Subject, Sender, CC, Received On, Attachments, and more—so you don’t have to build a single field yourself.
- Add your empty Contacts database to the same integration and enable “Track email contacts.” TaskRobin will automatically create the necessary properties—Name, Email, First Contact Date, Last Contact Date, Related Emails—and start populating them the moment a new email arrives.
- Set up auto-forwarding rules in Gmail or Outlook so every client email is captured hands-free.
- Use property mapping to automatically fill in custom properties like Deal Stage or Lead Source based on which forwarding address received the email.
With this in place, every email you send or receive from a prospect is automatically logged, linked to their contact record, and available on the Deal page—without anyone on your team manually copying, pasting, or setting up properties by hand.
Step 5: Tag Emails to Move Deals Through Stages
Add hashtags like #ProposalSent or #ClosedWon to your email subject line while forwarding, and TaskRobin will automatically tag the saved email in Notion. Combine this with a filtered view to quickly see which deals need follow-up based on tag activity.
Step 6: Build Your Follow-Up Dashboard
Create a dashboard view filtered to show:
- Deals with no email activity in the last 7 days (stale deals)
- Deals tagged #Urgent or #FollowUp
- Deals closing this month, sorted by Close Date
This mirrors the “deals needing attention” view you’d get in HubSpot, built entirely from your own Notion properties.
Why This Beats Paying for HubSpot
Once this pipeline is running, you have the two things that matter most in a CRM—organized deal tracking and automatic email history—without the HubSpot price cliff. For a full breakdown of the cost and feature tradeoffs, see our HubSpot CRM vs. Notion CRM comparison.
