New: AI-Powered Auto-Fill for Your Notion Database Properties

We’re excited to announce a brand-new capability in TaskRobin: AI-powered property auto-fill. TaskRobin can now read the actual content of your emails and intelligently fill in your custom Notion database properties—automatically, without you having to write a single rule.
The Problem with Manual Property Mapping
Until now, filling in custom Notion properties from your emails meant setting up rule-based automations—mapping the sender to one property, using different forwarding addresses to tag a “Task Type,” or manually editing each new item after it landed in your database. This works well for simple, predictable fields, but it falls short when the information you need is buried inside the body of the email itself, like an invoice total, a customer’s request category, or a promised delivery date.
That’s the gap our new AI capability closes.
Introducing AI-Powered Property Auto-Fill
With this release, TaskRobin’s AI reads the subject line and body text of every email you forward and extracts the information that matters most to your workflow. It then maps that information directly onto your existing Notion database properties—whether they’re text, select, number, or date fields.
No prompts to write, no complex rules to configure. All you need to do is create a property in your Notion database with a clear, descriptive name—like “Invoice Amount,” “Customer Category,” or “Requested Deadline”—and TaskRobin’s AI will figure out what to fill in based on that name every time a new email arrives.
How It Works
- Create a property in your Notion database and give it a descriptive name that reflects the information you want extracted (e.g., “Ticket Category” or “Due Date”).
- Forward, CC, or BCC an email to your TaskRobin address, just like you do today.
- AI reads the email text—subject line and body—to understand what it’s about.
- TaskRobin matches the extracted content to your property based on its name and type—no additional setup required.
- A new (or updated) Notion item is created, with the AI-filled properties ready to go alongside your usual email metadata.
Example Use Cases
- Support ticket triage: Have the AI read the customer’s message and select the right category (e.g., “Billing,” “Bug Report,” “Feature Request”) in a Select property.
- Deadline tracking: Pull a mentioned due date or deadline out of the email text and populate a Date property automatically.
- Sentiment or priority tagging: Read the tone and urgency of the email text to fill in a Select property like “Priority” or “Sentiment.”
- Summarization: Generate a short summary of a long email thread directly into a text property, so you can scan your Notion database without opening every item.
Works Alongside Your Existing Automations
This new AI capability doesn’t replace the rule-based property automations you already rely on—it complements them. You can keep using forwarding-address rules to set a “Task Type,” while letting AI handle the properties that require actually understanding what’s inside the email. Combine both for a fully automated Notion workflow that needs zero manual data entry.
